The Online Check-in feature lets you send your guests' registration details to the local authority automatically, so you can meet legal requirements without manual data entry. To set it up, register your accommodation with the responsible authority, connect your property in the Holidu app, and then monitor each booking's status. This guide covers each step.

1. Register with the responsible authority

Before you activate Online Check-in in Holidu, you must register your accommodation with the local authority for your region. This step is mandatory. Use the table below to find the correct authority and the guide for connecting your property.

Region Authority Guidelines
Spain (except Catalonia and Basque Country) SES.Hospedajes How to connect to SES.Hospedajes
Catalonia Mossos d'Esquadra Connect to Mossos d'Esquadra
Basque Country Ertzaintza Connect to Ertzaintza
Portugal SIBA How to connect to SEF/SIBA
Germany AVS How to connect your property to AVS
Italy Alloggiati Web Guest Check-in Feature in Italy
Statistical Reporting in Italy

After you register, the authority gives you a username, a password, and, in some cases, a renter or accommodation code. You will enter these details in your Holidu account to create the connection.

2. Connect your property to the authority

Once you have your authority credentials, follow these steps to connect your property in the Holidu app.

  1. In the Holidu app, open the left side menu, click "Bookings", and select "Online Check-in".

  5. Scroll down and click "Activate automatic sending to police". Select the correct authority and enter your username, password, and all required credentials. Do not use your Holidu login here. Use the login credentials you received from your authority.

  6. Click "Validate".
  7. After the validation succeeds, click "Save changes" at the end of the form.
  8. If no error message appears, your property is connected to the responsible authority.
  9. Close the form and check that the connection shows as active.

Tips to avoid connection errors

  • Use the correct host fiscal code. This is your ID number or, if you are not Spanish, your NIE.
  • Enter your full ID or NIE number, including all zeros.
  • Use the login credentials from your local authority, not your Holidu login.

3. How does Online Check-in work?

After setup, the system works automatically. Guests complete their details online, and the data is sent to the authority on the night before check-in. You only need to monitor the booking status and step in when a guest does not complete the form.

3.1 The guest process

  1. After booking, the guest receives an email or message with a link to a secure online check-in form.
    Guest receives the check-in email
  2. The guest enters the details of every traveller and scans a passport or ID document. Each person travelling with the guest must be added.
  3. The guest submits the data securely, and the system stores it.
  4. If the guest does not complete the form, automatic reminders are sent. If the guest still does not comply, you can enter the data on their behalf.

At 11:00 PM on the day of check-in, the guest data is automatically sent to the relevant authority.

3.2 How to read the status in the Bookings section

Each booking in the Holidu app shows a status that tells you where the check-in process stands.

Status What it means
Started, but missing data
