How to Configure and Collect a Security Deposit
A security deposit is an important tool for protecting your property while maintaining transparency with your guests. This guide will walk you through configuring a security deposit and collecting it from your guests.
Configuring Your Security Deposit
Step 1: Log Into Your Holidu Account
Access your Holidu Account and select the property for which you want to configure a security deposit. Note that each property requires individual configuration.
Step 2: Navigate to Configuration
On the upper left side of your dashboard, select "Configuration" and then click on the "Pricing" section.
Step 3: Set Your Deposit Amount
Scroll down to "Additional Fees" and select "Edit". In the pop-up window, enter your desired security deposit amount and click "Save" to apply it.
How to Collect Your Security Deposit
After configuring your deposit amount, you'll need to choose a collection method. Here are your options:
Collection Methods
- Cash on Arrival: Request the deposit in cash when the guest checks in. This straightforward method ensures collection before the guest enters your property.
- Bank Transfer: Ask guests to transfer funds a few days before arrival. This requires clear advance communication.
- Payment Apps: Use digital payment services such as Bizum (Spain), Swikly (France), or PayPal for faster transactions.
Always communicate your chosen collection method to guests in the arrival information to avoid surprises at check-in.
Important Considerations
- Guest Flexibility: Offer multiple payment options when possible. Some international guests may prefer cash, while others avoid handling physical money. Find a solution that works for both you and your guests.
- Collection Timing: We recommend collecting the security deposit before allowing guests to check in for maximum protection.
- Existing Bookings: Bookings made before you configure a deposit are not affected. You cannot charge a different amount than what was set when the guest booked.
- Airbnb Bookings: Security deposits are not applicable for Airbnb bookings, as they are handled entirely by Airbnb. Charging a deposit to Airbnb guests is strictly forbidden.
- Booking.com: While Booking.com displays bank transfer as the collection method, you remain free to collect cash directly from guests. The 7-day window is flexible, and you can collect payment at arrival.
- Refund Deadline: Return the security deposit within 14 days after check-out once you've inspected the property and confirmed it's in good condition.
