Your future team

In this role, you will be supporting our Co-Founder and CEO Johannes to ensure that all administrative and organizational tasks run smoothly. You will be one of the early members of the CEO team and have an impact on all of our departments, acting as a cultural ambassador and driving the happiness of more than 300 employees across more than 10 offices. If desired, this role can be done in part time (25 hours).

Your role in this journey

  • Support the CEO with administrative and organizational tasks, e.g. calendar management and scheduling, travel bookings, expenses management and long-term planning.

  • Manage the communication and correspondence with internal and external stakeholders.

  • Produce quality presentation slides for both internal and external occasions.

  • Manage projects and take on tasks with a problem-solving mindset, research solutions and proactively resolve issues.

  • Ensure meetings fulfill their purpose and be responsible for the preparation of meeting agendas.

  • Make sure that discussions and tasks are followed up and deadlines are kept.

  • Prepare team offsite events.

  • Support and own the process of gathering information for business cases and quarterly business and performance reviews. 

  • Keep our employees happy by coming up with creative ideas on acknowledging accomplishments. 

  • Play an active role in building a great community by facilitating relationship building within and among our teams  (e.g. through organizing events).

Your backpack is filled with

  • Profound work experience in a high caliber assistant role, project management or similar.

  • Excellent communication skills in English (B2 level) and in German (B2 level) as well as the confidence to communicate with all levels of hierarchy.

  • High level of service orientation and a strong motivation to help people and for the assistant role as such.

  • Strong administrative and organizational skills, as well as the ability to maintain a realistic balance among multiple priorities. 

  • A proactive and positive attitude, a flexible mindset and strong willingness to shape ideas.

  • The ability to take initiative, understand deadlines and carry multiple projects at the same time.

  • High level of discretion and confidentiality.

  • Expertise in Google Workspace (Docs, Sheets, Slides, and Meets) or Microsoft Office.

  • As a plus: experience in organizing Events (team events & larger events with up to 100 participants).
